_____Meet with Chapter leaders to discuss event ideas, divide responsibilities and appoint an event coordinator.
_____Contact Alumni Office to discuss event idea, invitation list, and arrange office support.
Ten/Eleven (10/11) Weeks prior
_____Reserve necessary facilities for event (contact Alumni Office if deposit is
required) and determine billing.
_____Contact guest speakers or campus representatives.
_____Draft invitation or event announcement.
Nine (9) Weeks prior
_____Send finalized invitation text and/or event announcement to Office for approval and reproduction.
Seven/Eight (7/8) Weeks prior
_____Alumni Office will mail invitations.
_____Confirm site reservations, determine additional AV/food/beverage needs.
One/Two (1/2) Weeks prior
_____Organize calling local alumni to encourage attendance (if necessary).
_____Call Alumni Office for list of RSVP and payments and nametags.
_____Final confirmations to speaker.
_____Call in numbers of attendees
to event site.
At the Event
_____Distribute nametags.
_____Greet and introduce speakers.
_____Share news from campus.
_____Take pictures.
Post Event
_____Send list of attendees to Alumni Office
_____Alumni Office will pay final event site bill (make arangements for this in
advance) and we will write a financial report for the event.
_____Send pictures and event description to Alumni Office for submission to Wittenberg Magazine.
