Meeting Minutes

Agenda:
I. Direction of IT - Ken Bladh
Ken gave an overview of the report by consultant, Gene Spencer.
- The IT Department and the Library will not merge at this time...move forward separately.
- The Search for a Chief Information Officer (CIO) has been posted on the web.
- The CIO position will be on the senior staff and report directly to the President.
- The search committee has been formed and planned to hold their first meeting on October 8th. They will work towards a first interview date of November 30.
- The name of the Computing Center will change to Information Technology Services (ITS).
Rita Whip asked for more MIS resources to help with the backlog in Advancement since the merge of COLL/BEN.
Other name changes on campus are: Academic Advising will change to Academic Services; Community Services will change to Community Service.
II. Technology Update - Joe Deck
a. The Academic Computing Committee (ACC) is working to keep classrooms up to the highest standard. We were upgrading computers across campus but ran out of funds.
b. The new version of Informer is not as quick as the old version. The Computing Center virtualized the server this summer. We will continue to monitor it and increase resources as necessary. Machine memory and CPU are set but vitualization can be upgraded easily.
c. Karen Hupp reported that the priority list has been forwarded to the senior staff. Two-thirds of MIS activities are updating current/daily activities and one-third is new projects. Ken Bladh will meet with senior staff to review specialized skill sets.
d. The COLL/BEN merge is working well...cooperation from everyone.
e. The Computing Center is utilizing students in a new Pilot Project to check classrooms on a nightly basis. We currently need more students.
III. Proper Procedures for Shutting Down PCs + When - Scott Powell
Computer maintenance is performed on servers on Wednesday mornings, 5-7am. Campus computers will automatically reboot, which can take up to 5 minutes before a user will be able to log on. Computers should be left turned on but users should be logged off every Tuesday night. Computers should be restarted every Wednesday morning and be left on at all times except during scheduled power outages.
IV. Post COLL/BEN Conversion Item - Karen Hupp
Email addresses: The Admission Office utilizes the parent or Internet address. Once they are paid deposit, they get a Wittenberg address. The Advancement Office prefers the business or personal email address. Alumni can have more than one email address, only one can be marked "preferred".
